Terms & Conditions

Last updated: May 3, 2026 · Working draft pending legal review

These terms govern use of the Palette Crew Dashboard at crew.palettegrp.com. They do not replace separate engagement-specific contracts (call sheets, deal memos, etc.). Questions: info@palettegrp.com.

1. Who can use the Service

The Crew Dashboard is a private directory operated by Palette Group LLC for its talent network and producers. Access is invite-only — accounts are created when an admin admits you, when you complete the inquiry form at /apply and are approved, or when an admin signs you in via magic link. You must be at least 18 and legally able to enter into freelance contracts in your jurisdiction.

2. Your account

You sign in with email magic link or Google OAuth. You are responsible for keeping your sign-in email secure. Don't share your magic links — they grant full access to your profile. If you believe your account has been accessed without permission, email us immediately.

Your role (talent or admin) is auto-assigned by email domain at first sign-in. Email addresses ending @palettegrp.com get admin access; everyone else gets talent access.

3. Your profile content

You retain ownership of everything you put on your profile (name, bio, expertise, portfolio link, headshot, project history, rate). By posting it on the Service, you grant Palette Group a non-exclusive, worldwide, royalty-free license to display it within the dashboard and reference it for production-staffing purposes.

You can edit any of these fields at any time on your /me page. Day rates have a 30-day cooldown between self-edits to keep negotiated rates stable; admins can override.

4. Acceptable use

You agree not to:

  • Misrepresent your qualifications, identity, or work history
  • Share your sign-in credentials or magic links
  • Scrape, copy, or redistribute the talent directory or any data inside it
  • Use the Service to send unsolicited commercial messages
  • Attempt to access other users' private fields (rate history, admin notes, contact info beyond what's publicly shown)
  • Submit project history that you didn't actually work on

Violations may result in account suspension or termination at Palette Group's discretion.

5. What admins can see

Palette Group admins (@palettegrp.com staff) can view your full profile including email, phone, day rate, project history, and any inquiry data you submitted. Other talent in the directory see a public subset: name, title, location, expertise, availability, verification status, portfolio link, bio, and categories of interest. They do not see your phone, rate, or admin notes.

6. Communications

Some emails are operational and unavoidable: sign-in magic links, account-confirmation emails, password resets, and notifications about admin actions on your profile (verification, project approval/rejection). These are required to use the Service.

Marketing emails (project opportunity broadcasts) are opt-in. You can toggle this at any time on your profile under Communications & Privacy. You can also unsubscribe via the link in any broadcast email.

7. Termination

You may delete your account at any time from your /me page (Danger Zone → Delete profile). Deletion is a soft delete: your profile is archived and your sign-in is revoked immediately. Archived profiles are retained for 90 days for audit purposes, then permanently removed. Submitted project history may be retained in admin records longer if it was used for production reporting.

Palette Group may suspend or terminate access for violations of these terms, with email notice where reasonable.

8. Service "as is"

The Crew Dashboard is provided as-is. Palette Group makes no guarantee about uptime, accuracy, or fitness for any particular purpose. We're not responsible for indirect, incidental, or consequential damages from your use of the Service or from inability to use it.

Engagement contracts (deal memos, call sheets, payment terms) are governed by their own separate agreements between you and Palette Group, not these terms.

9. Changes to these terms

We will email registered users about material changes. Continuing to use the Service after a change is in effect means you accept the change. If you don't accept it, delete your account.

10. Governing law

These terms are governed by the laws of the State of New York, USA, without regard to conflict-of-law principles. Disputes will be resolved in the state or federal courts located in New York County, New York.
